How to Apply for New Admits

Congrats on your acceptance to Cal State LA! We welcome you to the Golden Eagle family and invite you to apply to live on campus. The application priority deadline was May 9, but we encourage you to apply now so that we can place you on a waitlist. If a space opens up, we will assign it to you and let you know immediately by sending you a confirmation email to your Cal State LA email account. We expect spaces to continue to open up as people make cancellations. Housing assignments are offered on a first-come, first-serve basis so applying as soon as possible puts you higher on the waitlist and increases the likelihood that will receive a space. Since the priority deadline has passed, you won’t be able to select your room or roommates.

HOUSING APPLICATION HIGHLIGHTS

  • The entire application is available online.
  • The Medical Accommodation Request Process is outlined in the FAQ section below.
  • The 2018–2019 Housing Agreement will not include winter break or winter intersession. Please see details in the FAQ section.

REQUIREMENTS TO LIVE ON CAMPUS

In order to qualify to live on campus, a student must:

  • Be enrolled full-time at Cal State LA (Undergraduate=12 units; Graduate=8 units).
  • Be in good financial standing with the University. (A student cannot have outstanding balances or defaults of official payment plans established with the University Collections Office.)
  • Not have conduct sanctions that have permanently restricted them from residing in University-managed properties.

INFORMATION YOU WILL NEED TO SUCESSFULLY COMPLETE THE APPLICATION

To complete the online application and License Agreement please have the following items available:

  • “MyCalStateLA” username and password
  • Emergency Contact Information (First and last name, address, phone number, etc.)
  • Missing Persons Contact Information (First and last name, address, phone number, etc.)
  • Debit, Credit or Checking Account Information — In order to officially complete your online application, you will need to submit a $ 140 payment at end of the application after submitting your License Agreement.

THE PROCESS                                  

Housing Portal, Application and License Agreement, Student Profile and $140 Initial Payment

In order to successfully participate in the Housing Application Process, you will need to complete the following steps:

STEP 1: $100 Enrollment Confirmation Deposit (ECD): In order to access the application, you must have paid the ECD.
STEP 2: Online Housing Application and License Agreement 
STEP 3: $140 Initial Payment: This is a required step — no deferments or waivers.
STEP 4: TB Clearance
 

STEP 1: PAY YOUR $100 ENROLLMENT CONFIRMATION DEPOSIT (ECD). (Applicable only to First-year and Transfer Students Admitted for Fall 2018 Term.)

Only students who have paid their $100 ECD to confirm enrollment with Cal State LA can obtain access to the online housing application and License Agreement. Once you pay the Enrollment Confirmation Deposit (ECD), it will take 2–3 days for you to gain access to apply online through the Housing Portal. You won’t receive an email alert about this, so we encourage you to try logging on to the portal daily. For more information about submitting the ECD, visit the Admissions Website.

STEP 2: ONLINE HOUSING APPLICATION AND LICENSE AGREEMENT

During this step in the process, students are required to complete the online housing application, student profile, meal-plan selection, payment-schedule option, License Agreement and Consent Form (for those under 18). All of the above sections are to be completed online with the exception of the Consent Form, for residents under the age of 18, which is a paper form that must be signed and mailed to the Office of Housing and Residence Life.

  • Submit online the 2018–2019 Housing License Agreement and pay the $140 fee online when redirected to CashNet. If you pay cash or with a check, please submit a copy of your receipt.
  • If you are under the age of 18, submit a Consent Form to Housing and Residence Life. This step must only be completed by applicants who are under the age of 18. The Consent Form must be signed by a parent or legal guardian who agrees with the terms and conditions of the 2018–2019 License Agreement to provide consent authorization for medical treatment in case of an emergency.
  • Create your student profile on the Housing Portal. The student profile is a list of questions that will help us identify roommate and/or housemate matches.

STEP 3: $140 INITIAL PAYMENT (This step is required. There are no deferments or waivers.)

All newly admitted students must make an out-of-pocket initial payment of $140.

Payment Options:

  1. Online (Credit, Debit, E-Check): After you’ve completed the signature page in the Housing Portal, you will be redirected to the University’s CashNet system. The system will guide you step by step. After submitting your payment information, you will need click the “Return to the Housing Application” at the bottom of the CashNet receipt page. This step redirects you back to the Housing Portal and ensures your payment confirmation information is been sent to our office.
  2. In-Person (Cash, Check or Money Order): To make an in-person payment, please visit the Cal State LA Cashier’s Office located on campus in the Administration Building Rm 128. Tell the staff you want to pay the $140 Fall 2018 Housing Initial Payment.
  3. Mail (Check or Money Order): You may mail in a check or money order to the Cal State LA Cashier’s Office. Please include on the check or money order your name, campus ID number (CIN#) and “Fall 2018 Housing Initial Payment.” Mail it to: Cal State LA Cashier’s Office, 5151 State University Drive, Administration 128, Los Angeles, CA 90032.
  4. Foreign Currency: Please go to Flywire to make your payment using a foreign debit or credit card, international wire transfer, or other local payment options from your home country. First-time users will be asked to create a Flywire user account. The system will provide you with instructions throughout the process.

STEP 4: TUBERCULOSIS (TB) CLEARANCE

University policy requires that all residents provide proof every year that they are free of tuberculosis or not at high risk for tuberculosis and require a TB test. Complete the Tuberculosis Verification Form and submit it to the Student Health Center. Please note that a TB clearance is required prior to moving in and doesn't have to be completed at the time you apply. To view Cal State LA’s tuberculosis policy and procedures for residents, visit the Student Health Center’s Registration Health Requirements and click on “Housing Residents.”

These are the submission options (emailing the form is not an option):

  1. In person: Complete the TB Screening Questionnaire and turn the form into the Health Center, BLDG 14, located on the main walkway between the Career Center and the Wallis Annenberg Integrated Sciences Complex. The Health Center will provide you with a Health Center Clearance Receipt, which MUST be returned to The Office of Housing and Residence Life. Your application is not complete until this TB clearance has been submitted.
  2. Fax: Complete the TB Screening Questionnaire and fax the form to the Health Center’s fax number (323) 343-6557. The Health Center will notify the Office of Housing and Residence Life if TB Clearance has been approved or if additional steps must be taken by you, such as taking the TB exam.
  3. Mail: You may mail the completed TB Screening Questionnaire to the Health Center. Mail to: Cal State LA Student Health Center, 5151 State University Drive, Los Angeles, CA 90032. The Health Center will notify the Office of Housing and Residence Life if you have received a TB Clearance or if you need to take a TB exam.

FREQUENTLY ASKED QUESTIONS

WHEN IS MY HOUSING PAYMENT DUE?

Your 2018–2019 housing fees will be posted to your student account in June and due July 9. If you receive an assignment after June, however, we will add your housing fees to your account within two business days of sending you a confirmation email. (If you receive an assignment before July 9, your payment will be due July 9. If you receive an assignment after July 9, you will have 48 hours to pay your fees.) Based on the payment schedule you selected, your fees will be due in one or two payments. You MUST review your housing bill and follow the payment dates outlined on your student account to avoid late fees. Late fees are applied monthly for past due balances. All fees must be paid in full prior to your arrival to campus.

WHEN DOES MY 2018–2019 HOUSING AGREEMENT BEGIN? WHEN CAN I MOVE IN?

You will be invited to move in to your fall housing assignments by appointment on Saturday, August 18, 2018. Students must meet these eligibility requirements to move in:

  • Unit Enrollment (Undergrad: a minimum of 12 units; Grad: a minimum of 8 units)
  • Payment (Paid in full)
  • Tuberculosis (TB) Clearance (Submitted and cleared by the University Health Center)

CAN I STAY OVER THE WINTER BREAK?

Yes, however you will have to sign a new License Agreement and pay winter break fees. University housing will close at 2 p.m. on December 15, 2018, and will open on January 18, 2019. You may keep your belongings in your apartment but must make other living arrangements for that time period. The housing rental fees do not include the six weeks of winter break, therefore you will be required to go home or arrange other accommodations for the break. In order to stay on campus during winter break, you must participate in an application and agreement process, and satisfy all winter fees associated with a six-week stay prior to the start of the break. Winter intersession enrollment is not required.

WHAT DOES IT MEAN TO BE ON A WAITLIST?

The Office of Housing and Residence Life continues to accept housing applications and initial payments. Everyone who applies after May 9, 2018, will be put on the waiting list.

Although participation in the waitlist process does not guarantee a student will receive a housing assignment, we encourage students to remain on the waiting list as cancellations generally occur during the summer months. Students on the waitlist will be assigned a space as cancellations are received. We anticipate addressing waitlist students between June 15 and August 15, based on availability.

WHAT IF I FAIL TO MEET THE ELIGIBLITY CRITERIA?

You cannot live on campus because students must meet the eligibility criteria to live on campus. Housing and Residence Life reserves the right to cancel a student’s application and room reservation if student defaults on payments, meeting sanctions, has a conduct issue or is not enrolled in the required unit enrollment.

NOT SURE ABOUT LIVING ON CAMPUS NEXT YEAR?
Even if you are not sure of your plans, it is better to apply now and cancel if your plans change. Students must submit a request to cancel their housing assignments no later than 5 p.m. on July 17, 2018, to avoid prorated room and meal plan charges. All cancellation requests are subject to a $50 cancellation fee if approved. See the cancellation policy outlined below.

CAN I GET MY $140 INITIAL HOUSING PAYMENT BACK? WHAT IS THE CANCELLATION POLICY?

The fall cancellation request deadline is July 17, 2018. Students are responsible for submitting a Cancellation and Application Refund Request to The Office of Housing and Residence Life by the official cancellation date. This date is set to accommodate the required 30-day notification process outlined in your License Agreement. If approved for cancellation, students will receive a partial refund of the initial payment. When completed by the deadline, fees that are assessed during a cancellation are: $40 application fee and $50 cancellation fee.

WHAT IF I NEED TO REQUEST MEDICAL ACCOMMODATIONS FOR HOUSING?

The Office of Housing and Residence Life, in consult with the Office for Students with Disabilities (OSD), is committed to assisting students who identify as “qualified individuals” with a documented disability find reasonable accommodations as determined by the Americans with Disabilities Act (ADA) and Fair Housing Act (FHA) policies and guidelines, on a case-by-case basis. If you are a “qualified individual” requiring a specific type of housing accommodation due to a medical condition or disability, please follow the appropriate steps to ensure your housing selection participation with medical/disability considerations.

  • You must register with the Office for Students with Disabilities (OSD) by providing updated documentation about your condition and housing accommodation recommendations from your treating physician. For more information on the registration process, visit the OSD website or by contacting them at 323-343-3140 or OSD@calstatela.edu.
  • We encourage you to complete this step as early as possible. Despite your accommodation needs, since the housing priority deadline has passed, we may not be able to accommodate them based on availability of spaces.

WHAT IS A THEMED OR LIVING LEARNING COMMUNITIES (LLC)?

Students currently participating in or interested in one of the themed Living Learning Communities for the 2018–2019 academic year should mark their interest under LLC or themed community when completing their student profile in the online housing application. Students may show interest in more than one LLC or themed community, but note all continuing student LLCs and themed communities may require an application and/or enrollment in a class, special program affiliation or attendance to a minimum of programs to help develop the awareness in the community.

I’M INTERESTED IN LIVING IN HALISI BLACK SCHOLARS LLC. HOW WILL THE PROCESS WORK FOR ME?

A Halisi Scholars space within housing is an option for current and future students. You can express an interest in this option on your application. Once you have, someone from our department will contact you via email with further details.

I’M INTERESTED IN LIVING IN GENDER NEUTRAL INCLUSIVE HOUSING. HOW WILL THE PROCESS WORK FOR ME?

Gender Neutral Inclusive spaces within housing is an option for current and future students. You can express an interest in this option on your application. Once you have, someone from our department will contact you via email with further details.

I’M AN HONORS STUDENT WANTING TO RETURN TO HONORS HOUSING. HOW WILL THE PROCESS WORK FOR ME?

If you are requesting to reside on campus for the 2018–2019 academic year as part of the Honors Housing program, you MUST submit the $140 Housing Initial Payment and complete all steps outlined above. Confirmation of your status and eligibility to select into Honors housing is determined by the Honors College. Please note that honors students are subject to the same eligibility criteria as all other students.

I’M A STUDENT ATHLETE. DO I NEED TO PARTICPATE IN THE HOUSING SELECTION PROCESS?

Yes. If you are requesting to reside on campus for the 2018–2019 academic year, you MUST submit a $140 Housing Initial Payment and complete all steps required above. Athletes are subject to the same eligibility criteria as all other students.

WHEN CAN I REQUEST A ROOM CHANGE?

The room change request process does not begin until three weeks after the start of the fall 2018 semester. Our ability to accommodate room and/or building changes are based on availability of space within our community. Students who are interested in a room change must schedule an appointment with their Residence Director following the three-week administrative freeze to discuss their interest and determine the best course of action. Please note that room changes are not guaranteed. Roommate mediations are utilized as a course of action within our processes.

WHAT IS THE HOUSING APPLICATION PROCESS?

The Housing Application Process is an online process that allows new students the opportunity to apply, submit an initial payment, identify roommate(s), and receive a housing assignment for the next academic year. Participation in the Housing Application Process will be first-come, first-serve. Housing placement is not guaranteed, therefore we encourage students to apply early. Students who fail to participate by the required deadlines may be considered for the Housing Waitlist Process.

HOUSING APPLICATION PROCESS HIGHLIGHTS

Below you will find some important details we would like to highlight about the 2018–2019 Housing Application Process.

  • The entire process is available online.
  • All provisionally admitted First Year, Transfer and Graduate students are eligible to participate.
  • Students will be required to submit a $140 initial payment up front along with the Housing Application and License Agreement (includes $40 nonrefundable application fee) to participate in the Housing Application Process.
  • The Housing Application and License Agreement will open January 29, 2018, to allow ample time for student participation in the process.
  • Medical Accommodation Request Process and deadlines are outlined in the FAQ section.
  • Housing Waitlist Process — Students who fail to meet deadlines or financial eligibility during the Housing Application Process can select to participate in the Housing Waitlist Process outlined in the FAQ section.
  • Interested students will have an opportunity to request friends and search for potential roommates, but are not required to do so.
  • The 2018–2019 Housing License Agreement will not include winter break or Winter Intersession. Please see details in the FAQ section.

HOUSING APPLICATION ELIGIBLITY CRITERIA

Students who have completed the online Housing Application and License Agreement and paid the $140 initial payment by Wednesday, May 9, 2018, will receive notification informing them of their status via their Cal State LA email on Monday, June 11, 2018.

If you have completed the online Housing Application and License Agreement and satisfied the $140 initial payment by the deadline and have not received an email by Monday, June 11, please contact the Office of Housing and Residence Life and provide us with proof of payment and completion so that we may review your account.

The following conditions outline a student's ineligibility to participate in the Housing Application Process:

  • The student has not submitted a complete online application and license agreement by deadline.
  • The student has not satisfied the required $140 initial payment by deadline.
  • The student has not met the University's admission requirements or their admission has been rescinded (revoked).
  • Student is not in good financial standing with the University, including having outstanding balances or defaults of official payment plans established with the University Collections Office.

STEP 4: ROOMMATE SEARCH WIZARD: IDENTIFY YOUR ROOMMATES/HOUSEMATES (May 15–June 1)

The Roommate Search feature provides students with the opportunity to request friends as roommates and/or search for potential roommates.

  1. Application with Roommates: If a student is interested in being assigned a room with a preferred roommate, the student will utilize the Roommate Search Wizard to identify the individual or individuals with whom they wish to share a bedroom. Students who are interested in living together in the same bedroom must complete the roommate search and confirmation process during Step 4 (roommate search wizard) prior to the Assignment Process. All students must have completed an online application, paid all fees and confirm a mutual roommate request.
  2. Application with Roommates and Housemates: If a group of students are interested in being assigned into an apartment together, they will utilize the Roommate Search Wizard to identify the individuals they wish to share an apartment with. Students who are interested in living together in the same apartment must complete the roommate search and confirmation process during Step 4 (roommate search wizard) by the June 1 deadline. All students must have completed an online Application and License Agreement, paid all fees and confirmed a mutual roommate requests.
  3. Application without Roommates: Students may participate in the Housing Application Process as an individual and do not to request a roommate. Once they complete the online Housing Process, we will assign them to an available bed during the Assignment Process using the profile questionnaire answers to find the best available roommate match.

ASSIGNMENT PROCESS

Applicants are reviewed for housing placement on a first-come, first-serve basis. The dates that the online agreement and $140 payments are submitted will be utilized to determine priority order. Since housing is not guaranteed, we encourage students to complete the process early in order to increase their chances of receiving a bed space for the upcoming year and their room type preference. If demand exceeds the number of spaces, students will be added to the Housing Waitlist. An assignment will be processed for students on the waitlist as we receive cancellations from students with an assignment over the summer, or at the start of the school year. Please see the Housing Waitlist Process outlined in the FAQ section.

Room-type preferences requested during the Application Process will be considered during the Assignment Process, but is not guaranteed. You'll be assigned to a bed space based on availability. Students will receive an email confirming their room reservation and required next steps to their Cal State LA email account on Monday, June 11, 2018.
