We continue to take measures to maintain the health of our University community. Consistent with the California Department of Public Health recommendations, we are promoting social distancing and have modified our services.

OSD Staff Working Remotely

OSD staff are working remotely to continue to assist you with your accommodation needs, questions, inquiries, etc., Monday-Friday, 8 a.m. – 5 p.m.

Appointments with OSD counselors and support staff will continue to be scheduled during these times. To schedule an appointment or to contact us with questions, email [email protected] or email your OSD counselor of support staff directly. Our goal will continue to be to make sure that you receive the services that you need so that you can continue to move forward with your education. We hope that you are all safe and taking care of yourselves as you push through the rest of the semester.

OSD services and accommodations during alternative instruction

Again, OSD will proactively continue to inform faculty about your accommodations. Most faculty have already received the Notification of Academic Support Services. We have also provided them with a resource guide to help support your accommodation needs online.  

This is a working guide. As the situation unfolds, we may have to make adjustments. Our main goal is to make sure that you receive the services that you need so that you can continue to move forward with your education. OSD staff is prepared to help you with accommodations for classes with alternative methods of instruction. The following information will help you through this transition:

Alternative Testing Modifications

Extra Time

  • If you need extra time for your exams, your instructor needs to adjust the time on CANVAS or another platform that delivers the exam.
  • You should still schedule the exam through the OSD Online Services so that we can notify your instructors about the extra time.
  • Since exams are transitioning to an online format we will not be utilizing rigid exam scheduling blocks. Students should be given access to the exam at the same time as other students. Example: if an exam begins at 9:30 a.m., students will schedule for 9:30 a.m., rather than our original 10 a.m. time block.


  • During this time, face-to-face proctoring is not feasible. If the entire class is being given an exam online (utilizing Canvas or another online platform), then the individual with the accommodation should be given the same opportunity to also participate in the online examination experience.

If you have note-taking services:

Note-taking in Zoom

  • Notetakers will still be able to take notes for classes where Instructors are using Zoom through CANVAS (or another video platform) for their actual lecture. They will continue to upload those notes into the OSD database so that students can retrieve them.

Note-taking on Canvas

  • If your instructor is simply posting lecture content and notes online, both you and the note-taker should already have access to these materials. All students can review the material as note-takers are not required to copy content provided by the instructor.

Alternative Media (e-text)

Additional textbooks

  • If your instructor recommends a new textbook that will need to be converted, students can still submit the requests to OSD, who will work with students to determine their best options.
  • However, due to the timeframe of the semester, and online instruction new textbook requests may not be processed in a timely manner.

The OSD Assistive Technology Learning Center (ATLC) team has completed a guide to help students who use JAWS navigate Zoom and provide alternative functionalities for participating in the zoom sessions.

For students who are blind or visually impaired, we have asked your faculty:

  • If they are sharing materials in a meeting, to fully describe out loud the content while sharing their screen during an online session (Zoom).
  • To provide access to shared resources outside of Zoom, and in advance of the meeting.
  • To allow participants to respond to polls or questions via multiple methods:
    • Chat
    • Audio
    • Email
  • When addressing questions from the chat window, to speak aloud the initial question before answering to ensure everyone can participate, including those individuals who are attending the meeting via the audio-only call-in option.

Deaf and Hard of Hearing Interpreting

Real-time Captioning in Zoom:

For students who need captioning services, we are encouraging instructors to use the Zoom platform as it is the most feasible to meet your accommodation needs, and follow these steps:

  • Your instructor will need to provide the Zoom join meeting link to [email protected] along with the class subject, number and section number (i.e. COUN 1200.001).
  • Once we have the link, Delmis will share the link with the captionist assigned to your class, allowing them to join the meeting.
  • Once in the meeting:
    • Your captionist can identify themselves to you by sending you a direct message in the chat feature, which is marked ‘private’ in Zoom.
    • We are asking them to write CART next to their name.
    • All you have to do is look for them in the Zoom meeting participant list. You can also send them a direct message through the chat feature.
      • Click ‘everyone’ in chatbox and look for your service provider’s name and click on them. Once you click their name you can send a message directly to them and see the word ‘private’ in red notifying you that you are only communicating with them.
    • You will be able to click the closed caption option at the bottom of the main meeting window to view closed caption and participate in the class.
    • From a laptop or iPad the closed caption option may be at the top or sidebar.

American Sign Language (ASL) Interpreting in Zoom:

For students who need interpreting services, the Zoom platform will be most feasible to meet accommodation needs. Please follow these steps:

  • Your instructor will need to provide the Zoom join meeting link to [email protected] along with the class subject, number and section number (i.e. COUN 1200.001).
  • Delmis will share the link with the interpreter assigned to your class, allowing the interpreter to join the meeting.
  • Once in the meeting, the interpreter can identify themselves to you by sending you a direct message in the chat feature, which is marked ‘private’ in Zoom.
  • Once they are identified you will select their userbox, double click or right-click and select ‘pin’ which will allow you to see them in full-screen mode. 

There is no breach of confidentiality if the other students are able to see the captionist or interpreter as this would be the same experience for them if they were in the class. The student can communicate with the interpreter privately via chat if and when necessary.
