Student Organization Event Tiers

This matrix is intended to support student organization leaders in identifying the appropriate deadlines to submit event registration forms on Presence to ensure that the student organization advisor, the Center for Student Involvement, and the appropriate space reservations departments have time to review and approve the form.

Tiers Type of Event Deadline to submit Event Registration on Presence
1

General Meeting
 - Typically a recurring weekly/bi-weekly/monthly meeting of the members of the student organization 
- does not include food or external guest speakers

Outdoor Tabling
- Does not include amplified sound, food, or sales of any kind (including fundraisers)

15 business days prior to the event

Space reservations require a minimum of 10 business days in advance

Note: Advisors must approve the event registration prior to CSI reviewing and approving

Events may include:
- food
- amplified sound
- external vendors/speakers
- sales
- film/tv screenings

Note: Temporary food permits or amplified sound permits or film screening rights must be submitted and approved prior to submitting the event registration

15 business days prior to the event

Space reservations require a minimum of 10 business days in advance. Food permits and amplified sound permits require 10 business days prior to submitting the event registration

Note: Advisors must approve the event registration prior to CSI reviewing and approving

Events may include:
- everything from the above tiers AND 
- recreational activities that require waivers (physical activities, jumpers, dunk tanks, mechanical bulls, etc)

Note: these events require Cal State LA General Liability Release Waivers from every participant

20 business days prior to the event

Space reservations require a minimum of 10 business days in advance. Food permits and amplified sound permits require 10 business days prior to submitting the event registration

Note: Advisors must approve the event registration prior to CSI reviewing and approving

4 Events may include:
- everything from the above tiers AND 
- Travel off-campus, regardless of the mode of travel (requires waivers)
- Fundraisers off campus (restaurants may require a W-9)

20 business days prior to the event

Space reservations require a minimum of 10 business days in advance. Food permits and amplified sound permits require 10 business days prior to submitting the event registration

Note: Advisors must approve the event registration prior to CSI reviewing and approving

5 Events may include:
- Alcohol (may only be served by UAS on campus with the appropriate alcohol approval form)
 - Hosting conferences or competitions of greater than 100 participants (one or multi-day conference)

30 business days prior to the event
