Deadlines

DEADLINES FOR STUDENT EMPLOYEES CONTINUING EMPLOYMENT
A new student employee can be hired at any time. However, certain deadlines apply when you plan to have a student continue their employment through breaks or additional academic terms.

To avoid delays in processing, please submit ETFs and other applicable paperwork well before the following deadlines:

April 1

Summer Session

For students employees who will continue working during the summer session, submit ETF to transition their classification to Bridge Student Assistant (1874). Required for:

  • Students who will not enroll in summer courses
  • Students who enroll less than half time (6 units) in the summer
  • Students who graduated in the spring and will continue employment until the end of summer (must be separated from 1870 classification prior to last day of the spring term and from 1874 prior to the first day of fall term)
  • Students currently classified as 1870 or 1871

ETF must include the following recommended effective employment dates:

05/26/2019 - 08/19/2019

May 1

New Hires for Summer

If you plan to hire a student to work in the summer, they must be hired in the spring before the end of the fiscal year. Be sure your new hire student assistant brings the following completed and signed: 

  • ETF for Student Assistant (1870 or 1150); and 
  • ETF for a Bridge Student Assistant (1874); and 
  • Offer letter for 1150 classification; and 
  • Live Scan Clearance (if position requires Live Scan)

ETF must include the following recommended effective employment dates:

1870: 05/01/2019 - 05/25/2019
1874: 05/26/2019 - 08/19/2019

June 1

Rehires

If you plan on rehiring a student employee, submit:

1868 and 1150

The employment cycle for student assistants classified as 1868 or 1150 ends on June 30.  If you plan on rehiring them for the new fiscal year, the ETF must include the following recommended effective employment dates:  07/01/2019 - 06/30/2020.* 

 

1870

If you plan on rehiring for the fall term a student who worked during the summer as an 1874 or who worked for you in the spring as an 1870, the ETF must include the following recommended effective employment dates:  08/20/2019 - 05/23/2020.*  

 

*If the student you are rehiring is not working this summer, their effective start date can begin after the recommended start date.

December 1

Winter Break

For students with Federal Work-Study (FWS), submit ETF to transition them to Student Assistant (1870 classification).

OR

Submit ETF to change status to Bridge Student Assistant (1874). Required for:

  • Students without Federal Work-Study (FWS)
  • Students with or without FWS who graduated in the fall and will conintue employment until the end of the spring term (must be separated prior to the first day of summer break)

ETF must include the following recommended effective employment dates:

1870: 12/21/2019 - 01/20/2019
1874: 12/21/2019 - 05/23/2020
