CSLA Facility Coordinators' Guide to Planning Events

Five steps in planning an event:

Step 1:
Establish with client, date, time and location
of event at your facility, and any support services required.
(If another facility is required, please initiate the contact.)

  • Parking (Judy Castaneda, x3700);
  • Public Safety (Lt. John Hernandez, x3700);
  • Publicity: press releases, fliers, posters, etc. (Carol Selkin or Margie Yu, x3050);
  • Food services (Ron Rios, x4930);
  • Audio-visual/ATS (Nancy Kudo-Hombo, x4540)
  • Setup/cleanup (Jill Carnahan, x3792)

Step 2:

Review your own facility's calendar to confirm
space availability; review
CSLA Facility-Use Calendar

to check for other possible conflicts. (You can also call Public
Affairs Office at (323) 343-3050 for a hard copy of the Facility-Use
Calendar.) If there are no conflicts and the space is available,
place on your calendar as "tentative."

Step 3:

With client's input, complete the electronic Facility Use Form as well as those forms specific
to your facility (on-line form is forwarded automatically to the
appropriate service providers).

Step 4:

At Facility Use standing meeting (Thursdays, 2
p.m., Private Dining Room, University Club), confirm all required
support services and determine whether a lease agreement is necessary.

Step 5:

  • If lease agreement is not necessary, mark "confirmed"
    on your calendar and inform the Office of Publications/Public Affairs.
  • If lease agreement is necessary, insure that it is completed.
    At the completion of lease agreement, inform the Office of Publications/Public
    Affairs that the event is "confirmed".
