Summer 2018 Housing Process

Current Cal State LA students are welcome to participate in the Summer 2018 Housing Application Process to reserve your housing assignment for the upcoming summer. Please take a few minutes to fully read the information below to ensure you are eligible to participate in the Summer Application Process and to successfully secure your summer space.

I AM A NEW STUDENT TO CAL STATE LA FOR THE SUMMER OR A NON-MATRICULATING STUDENT, CAN I APPLY FOR SUMMER HOUSING?

The process to apply and reserve a space on campus will differ if you are a new fall admit or non-matriculating student. We offer on-campus summer housing to newly admitted undergraduate, graduate, transfer students and non-matriculated students enrolled in classes during the summer at Cal State LA. New and non-matriculated students can request a reservation for housing through the Housing and Residence Life Summer Conferences Program offered May 27–July 27, 2018. The Summer Housing Process information provided below is not applicable to you. You must visit the Summer Conferences page for additional information on submitting a reservation request and available housing accommodations.

SUMMER HOUSING OPTIONS

Varied options for lengths of stay are available for Summer 2018. Please keep in mind that the contract dates advertised below are the only options available therefore, if you choose to move out earlier or arrive later, your housing fees will NOT be prorated. Charges will reflect the term you selected when you submitted your Summer Housing Application and License Agreement. Note that some options are only offered to a select group of students.

  1. May Intersession (3 weeks) *Available only for currently enrolled Cal State LA students residing in housing for the spring 2018 term. License Agreement begins Monday, May 21, 2018, and ends at 2 p.m. Saturday, June 9, 2018.
  2. Full Summer (12 weeks) *Available only for currently enrolled Cal State LA students residing in housing for the spring 2018 term. License Agreement begins Monday, May 21, 2018, and ends at 2 p.m. Saturday, August 11, 2018.
  3. Summer Session I & II (11 weeks). License Agreement begins Friday, May 25, 2018, and ends at 2 p.m. Saturday, August 11, 2018.
  4. Summer Session I Only (6 weeks). License Agreement begins Friday, May 25, 2018, and ends at 2 p.m. Wednesday, July 4, 2018.
  5. Summer Session II Only (6 weeks). License Agreement begins Monday, July 2, 2018, and ends at 2 p.m. Saturday, August 11, 2018.

WHAT IS THE SUMMER HOUSING PROCESS?

The Summer Housing Process is an online process that allows current students the opportunity to apply, submit a License Agreement, submit an application and deposit fee, and be reviewed for a summer housing assignment. Participation in the Summer Housing Process will be first-come, first-serve. Housing placement is not guaranteed; therefore we encourage students to apply early. Students who fail to participate by the required deadlines may miss an opportunity to obtain summer accommodations. Summer housing is very limited as only a small portion of our occupancy is offered to students during this time.

Important Golden Eagle Apartments (GEA) Construction Notification

During June 2018–August 2018, GEA Building 2 will undergo extensive renovations. If you will be applying to remain in GEA for the summer, please be aware that construction will affect the community in the following ways:

  • The construction crew is expected to be onsite starting at 7:30 a.m. through 6 p.m.
  • Due to construction in GEA, noise and activity will be extremely high during the day. 
  • The noise level will fluctuate between high and very high as the crew works on the interior and exterior of the buildings, and as trucks enter and exit the property. 
  • Barricades will be placed along the staging area that my require walk around. 
  • There also may be limited to no student parking within the gates due to the needs of the construction company.

If the construction activity will be of concern, students have the option to request assignment into Phase I West requiring complete relocation of self and all personal items into the summer assignment. Transition dates prior to summer and after summer will depend on your term selection and request for summer accommodation.

SUMMER 2018 HOUSING FEES (ROOM AND BOARD) AND PAYMENTS

The Summer 2018 Payment Schedule is available online for your review. Summer fees are due in full (in one payment) by the deadlines outlined in the payment schedule. There are no installment payment options offered through housing.  Students who are contracted for the Full Summer (12 weeks) or Summer I and Summer II combined sessions (11 week) may inquire about a payment plan with the Student Loan Services and Collections Office, but must have an official payment plan established by the payment due date of May 11, 2018.

SUMMER HOUSING APPLICATION PROCESS HIGHLIGHTS

The information below details the Summer Housing Application Process:

  • All continuing Cal State LA students are eligible to apply for Summer Housing. A continuing Cal State LA student is someone who is enrolled full time at Cal State LA for spring 2018 and will be enrolled full time for fall 2018. Full time is minimum 12 units undergrad and minimum 8 units graduate.
  • Summer assignments are determined by the Office of Housing and Residence Life. Self-selection will not be permitted in the summer process.
  • The entire process is available online.
  • The Summer 2018 Housing Application and License Agreement will open April 12, 2018.
  • Students will be required to submit a $140 application and deposit fee up front along with the Summer 2018 Housing Application and License Agreement to participate in the Summer 2018 Housing Application Process. This includes a $40 nonrefundable application fee and a $100 damage deposit fee.
  • Medical Accommodation Request Process and deadlines are outlined in the FAQ section below.
  • The Summer 2018 Housing License Agreement will not include the break between spring and summer or the break in between summer and fall, unless you are contracting for May Intersession or Full Summer term occupancy, which have a start date of May 21, 2018.
  • The Dining Commons will be closed for the summer, therefore no meal plans will be offered.
  • Students will not be charged a program fee due to community events not occurring during the summer months.

SUMMER HOUSING ELIGIBLITY CRITERIA 

Students who have completed the online Summer 2018 Housing Application and License Agreement and paid the $140 application fee and deposit payment by 3 p.m. (PST) Wednesday, April 18, 2018, will receive a notification informing them of their status via their Cal State LA email on Thursday, April 19, 2018.

If you have completed the online Summer 2018 Housing Application and License Agreement and satisfied the $140 application and deposit payment by the deadline and have not received an email by Thursday, April 19, please contact the Office of Housing and Residence Life and provide us with proof of payment and completion so that we may review your account.

The following conditions outline a student's ineligibility to participate in the Summer Housing Application Process.
The student:
  • Has not submitted a complete online application and agreement.
  • Has not satisfied the required $140 application and deposit payment.
  • Has not been enrolled at Cal State LA for the entirely of the spring semester and will not be enrolled for the fall academic semester.
  • Is not in good financial standing with the University. Outstanding balances or defaults of official payment plans established with the University Collections Office.
  • Has conduct sanctions that have permanently restricted them from residing in University-managed properties.

THE PROCESS STEP BY STEP

Housing Portal, Application and License Agreement, Student Profile, and $140 application and deposit payment by 3 p.m. (PST) Wednesday, April 18, 2018. If you currently do not live on campus or have not been confirmed for a fall space, you will need to submit a TB Clearance.

In order to successfully participate in the Summer Housing Application Process and be considered for an assignment, you will need to complete the following steps:

  1. Submit an online Summer 2018 Housing Application and License Agreement.
  2. Make a $140 application and deposit payment. This is a required step—no deferments or waivers.
  3. Turn in a TB Clearance for 2018. (Exceptions: if you already have on file a TB Clearance for 2018 because you currently live in housing or you have a fall application that has been accepted.)

STEP 1: ONLINE SUMMER 2018 HOUSING APPLICATION AND LICENSE AGREEMENT PROCESS DUE BY 3 PM, WEDNESDAY, APRIL 18, 2018 (Summer Term, Student Profile, Room Type Preference & TB Clearance)

During this step in the process, students are required to complete the online Summer 2018 Housing Application, student profile, select the summer term (duration of their stay), room type preference selection, License Agreement by Wednesday, April 18, 2018. Applications received after April 18, 2018, will be considered late and may participate in a late summer housing process. Summer applications will be accepted on a rolling basis.

  • Submit online the Summer 2018 Housing License Agreement and pay the $140 fee online when redirected to CashNet. If you pay cash or with a check, please submit a copy of your receipt. (Available online with a deadline of Wednesday, April 18, 2018). 
  • TB Clearance for 2018: Must be completed by students who do not currently live on campus or who do not have a fall application that has been accepted.
  • All submissions will be reviewed to see if they are eligible.
  • Review and edit your profile on the Housing Portal. The student profile is a list of questions that will help identify roommate and/or housemate matches. We will use the results from the profile questions during the Assignment Process.

STEP 2: $140 APPLICATION AND DEPOSIT PAYMENT DUE BY WEDNESDAY, APRIL 18, 2018. (This step is required. There are no deferments or waivers.)

All students must satisfy an out-of-pocket application and deposit payment of $140.

Payment Options:

  1. Online (Credit, Debit, E-Check): After you’ve completed the signature page in the Housing Portal, you will be redirected to the University’s CashNet system. The system will guide you step by step. After submitting your payment information, you will need to click the “Return to the Housing Application” at the bottom of the CashNet receipt page. This step redirects you back to the Housing Portal and ensures your payment confirmation information is sent to our office.
  2. In-Person, Walk-in (Cash, Check or Money Order): To make an in-person payment, please visit the Cal State LA Cashier’s Office located on campus in the Administration Building, Rm 128. The cashier service windows are located in the open courtyard area. Notify the staff that you want to pay the $140 Summer 2018 Housing Application Deposit Payment.
  3. Mail (Check or Money Order): You may mail in a check or money order to the Cal State LA Cashier’s Office. Please include on the check or money order the student’s name, campus ID number (CIN#) and “Summer 2018 Housing App/Deposit Payment.” Mail it to: Cal State LA Cashier’s Office, 5151 State University Drive, Administration 128, Los Angeles, CA 90032. (Check and money orders must be received by the deadline, not postmarked by the deadline.)
  4. Foreign Currency: Please go to Flywire to make your payment using a foreign debit or credit card, international wire transfer, or other local payment options from your home country. First-time users will be asked to create a Flywire user account. The system will provide you with instructions throughout the process.

ASSIGNMENT PROCESS  

Applicants are reviewed for housing placement on a first-come, first-serve basis. The dates that the online agreement and $140 payment are submitted will be utilized to determine priority order. Since housing is not guaranteed, we encourage students to complete the process early in order to increase their chances of receiving a bed space for the summer and their room type preference. Room-type preferences requested during the application process will be considered during the assignment process, but are not guaranteed. You'll be assigned to a room type based on availability of space.

Students will receive an email confirming their room reservation and required next steps to their Cal State LA email account on Thursday, April 19, 2018.  If demand exceeds the number of spaces, students will be added to the Housing Waitlist. Assignments for students on the waitlist are processed as we receive cancellations from assigned students.

SUMMER CHECK-IN

Students will check in on or after their Summer Agreement begins. Students will receive check-in details based on their Summer Term Selection to their Cal State LA email.

The housing rental fees for the Summer Session I and/or Session II Agreement DOES NOT include the break between the spring and summer, therefore students will be required to head home or arrange other accommodations for the break and return at the start of their Summer License Agreement. The 2017–2018 License Agreement expires on Saturday, May 19, 2018, at 2 p.m. and only students with a May Intersession or Full Summer Agreement will be allowed to stay over the break.

Please note that the students with a 2018–2019 academic year housing agreement who are contracted for summer until August 11, 2018 will be permitted to transition from their summer assignment into their fall assignment during the break period between summer and fall.  

FREQUENTLY ASKED QUESTIONS

CAN I STAY OVER DURING THE BREAK BETWEEN SPRING AND SUMMER?

THE BREAKS BETWEEN SEMESTERS ARE NOT INCLUDED IN THE HOUSING LICENSE AGREEMENTS, UNLESS YOU SELECTED THE MAY INTERSESSION OR FULL SUMMER TERM WHEN COMPLETING YOUR SUMMER HOUSING LICENSE AGREEMENT.

Residents’ current 2017–2018 License Agreements expires on Saturday, May 19, 2018, at 2 p.m. All residents will be required to remove their belongings and check out by 2 p.m. on Saturday, May 19, 2018. The housing rental fees do not include the break between the spring and summer, therefore students will be required to head home or arrange other accommodations for the break and return at the start of their Summer License Agreement.

CAN I CHANGE MY SUMMER TERM SESSION?

Students wishing to change their stay from the May Intersession or Session II, may submit in writing a request to change their Agreement Summer Occupancy Term by May 11, 2018. The Office of Housing and Residence Life will review the request and notify the student if approved or denied. If the request is approved, students should be prepared to pay the price difference in the housing fees and be prepared to check out or check in according to the new Agreement start date. For example, current residents with a May Intersession Agreement who decide to stay longer will need to be ready to pay for the added dates and to relocate accordingly to West or GEA.

Students should be aware that choosing to move out earlier or arrive after the start of their contract will NOT result in housing fee proration. Housing fees will reflect the agreement term dates you selected when completing your Summer Housing License Agreement.

WHEN ARE MY HOUSING FEES DUE?

Once a student has received a housing assignment confirmation, their summer 2018 housing fees will be posted to their student account Friday, April 20, 2018, or within 48 hours of their placement.  Summer fees (May intersession, Summer I only, Summer I & II, and Full Summer are due by May 11, 2018; Summer II only fees are due June 22, 2018. You MUST review your housing bill in April and follow the payment dates outlined on your student account to avoid late fees. Late fees are applied monthly for past due balances. All fees must be paid in full prior to a student’s arrival to campus.

MISSED SUMMER PROCESS DEADLINES? THEN THE SUMMER HOUSING WAITLIST IS FOR YOU.

The Office of Housing and Residence Life will continue to accept summer housing applications and initial payments after the deadline BUT late applications WILL NOT be processed in the first wave of assignments. All late applicants will be referred to the waitlist. After the first wave of assignments are processed, we will assess space availability and continue to process assignments as spaces become available. We anticipate addressing waitlisted students between April 25 and May 16, based on availability. Students should be ready to make their payment in full within 24 hours of receiving their Summer Confirmation Email, which will be sent to their Cal State LA email account.

WHAT IF I FAIL TO MEET THE ELIGIBLITY CRITERIA?

Students must meet the eligibility criteria throughout the entire Summer Housing Application Process. Any attempt to make the initial payment with an outstanding balance will not be reflected as an initial payment instead it will be applied to the outstanding balance. Housing and Residence Life reserves the right to cancel a student’s application and room reservation if student defaults on payments, meeting sanctions, has a conduct issue or does not meet the enrollment eligibility criteria.

CAN I GET MY $140 APPLICATION/DEPOSIT PAYMENT BACK? WHAT IS THE CANCELLATION POLICY?

Students are responsible for submitting a 2018–2019 Cancellation Request Form to The Office of Housing and Residence Life no later than the official cancellation date. This date is set to accommodate the required 30-day notification process outlined in our Housing License Agreement. If approved for cancellation, students will be eligible to receive a partial refund of the payment. When completed by the deadline, fees that are assessed during a cancellation are: $40 application fee and $50 cancellation fee. Students that submit the Cancellation Request Form with less than the required 30-day notification will be assessed a prorated room charge.

WHAT IF I NEED TO REQUEST MEDICAL ACCOMMODATIONS FOR HOUSING?

The Office of Housing and Residence Life, in consultation with the Office for Students with Disabilities (OSD), is committed to assisting students who identify as “qualified individuals” with a documented disability find reasonable accommodations as determined by the Americans with Disabilities Act (ADA) and Fair Housing Act (FHA) policies and guidelines, on a case-by-case basis. If you are a “qualified individual” requiring a specific type of housing accommodation due to a medical condition or disability, please follow the appropriate steps to ensure your summer housing application participation with medical or disability considerations.

  • If you do not have a ’17–’18 or ’18–’19 housing accommodation, recommendation on file with OSD, you must register with the Office for Students with Disabilities (OSD) by providing updated documentation about your condition and housing accommodation recommendations from your treating physician.   • Students returning to housing who currently have an OSD-approved accommodation will not need to reverify for the summer housing process. Recommendations submitted for the current or upcoming term will be taken into consideration.
  • Despite your accommodation needs, you are required to meet all deadlines for the Summer Housing Application Process in order to be eligible for the summer housing application participation and placement. 
  • Your OSD registration process must be finalized no later than Wednesday, April 18.
