2018–2019 HOUSING SELECTION PROCESS FOR CURRENT CAL STATE LA STUDENTS
 

The Office of Housing and Residence Life welcomes you to participate in the 2018–2019 Housing Selection Process to reserve your housing assignment for the upcoming school year. It is our mission to build an environment that supports academic achievement, leadership and global citizenship. Studies have shown that students who live on campus increase their likelihood for increased academic success, campus involvement, improved leadership skills and will become connected to the University in meaningful ways.

WHAT IS HOUSING SELECTION?

Housing Selection is an online process that will allow current students the opportunity to apply, submit an initial payment, identify a roommate, and self-select their housing assignment for the next academic year. Participation in the housing selection process will be first-come, first-serve. Housing placement is not guaranteed, therefore we encourage students to apply early. Students who fail to participate by the required deadlines may be considered for the housing waitlist process.

HOUSING SELECTION PROCESS CHANGES AND HIGHLIGHTS

The information below details the 2018–2019 housing selection process. The process has changed from previous years, so please take note of the following changes as they directly impact your eligibility and ability to participate in the process

  • The entire process is available online.
  • All student classifications are eligible to participate. Upper division students will not be blocked from participating in the 2018–2019 housing process.
  • Students will be required to submit a $500 initial payment up front along with the Housing Application/Agreement (includes application fee) to participate in the housing selection process. This participating fee has been reduced from $640 last year.
  • The Housing Application/Agreement will open mid-January to allow ample time for student participation in the process.
  • Medical Accommodation Request Process and deadlines are outlined in the FAQ section.
  • Housing Waitlist Process — Students who fail to meet deadlines or financial eligibility during housing selection can select to participate in the housing waitlist process outlined in the FAQ section.
  • The 2018–2019 Housing Agreement will not include winter break or Winter Intersession. Please see details in the FAQ section.

HOUSING SELECTION ELIGIBLITY CRITERIA

Students who have completed the online Housing Application/Agreement, submitted Health Center TB clearance, and paid the $500 initial payment by 3 p.m. (PST) Friday, March 2, will receive notification via their Cal State LA email on Wednesday, March 7, informing them of their eligibility status.

If you have completed the online Housing Application/Agreement, cleared TB by the Health Center and satisfied the $500 initial payment by the deadline and have not received an e-mail by Wednesday, March 7, please visit the Office of Housing and Residence Life with proof of payment and completion so that we may review your account.

The following conditions outlines a student's ineligibility to participate in the housing selection process:

  • The student has not submitted a complete online application/agreement by deadline.
  • The student has not satisfied the required $500 initial payment by deadline.
  • The student has not been enrolled at Cal State LA for the entirely of the spring term.
  • Student is not in good financial standing with the University. Outstanding balances or defaults of official payment plans established with the University Collections Office.
  • The student has conduct sanctions that have permanently restricted them from residing in university managed properties.

THE PROCESS

Housing Portal, Application/Agreement, Student Profile, Roommate Search/Selection, Building Preferences, Initial Payment, TB Clearance, and Room Self-Selection.

In order to successfully participate in the Housing Selection Process, you will need to complete the following steps:

  1. Online Housing Application/Agreement
  2. $500 Initial Payment *Required — no deferments or waivers.
  3. Roommate Search Wizard
  4. Lottery and Room Self-Selection Process

STEP 1: ONLINE HOUSING APPLICATION/AGREEMENT PROCESS DUE BY 3 PM, FRIDAY MARCH 2, 2018 (Student Profile, Room Type Preferences, Meal Plan, Payment Schedule, & TB Clearance)

During this step in the process, students are required to complete the online Housing Application, student profile, meal-plan selection, payment-schedule option, Housing Agreement and TB clearance by 3 p.m., Friday, March 2. All of the above sections are to be completed online with the exception of the TB clearance, which is completed through the University Health Office by the same deadline. Applications and TB Clearance received after 3 p.m. on March 2, will be considered late, but these applicants may still participate in the housing waitlist process.

  • Submitt online the 2018–2019 Housing License Agreement and pay the $500 fee online when redirected to CashNet. If you pay cash or with a check, please submit a copy of your receipt. (Anticipated to be available online on January 12 with a deadline of 3 p.m. on March 2, 2018). 
  • TB Clearance: Students are required to submit a new Tuberculosis Questionnaire/Verification form annually in person to the Health Center. The Health Center will provide the student with a Health Center’s Clearance Receipt, which MUST be returned to The Office of Housing and Residence Life by 3 p.m. on March 2, 2018, to be included with their online Housing Application/Agreement.
  • All submissions will be reviewed for eligibility.
  • Review and edit your profile on the Housing Portal. The student profile is a list of questions that will help you identify roommate and/or housemate matches. Students will use the results from the profile questions during Step 3 of the housing selection process. 

STEP 2: $500 INITIAL PAYMENT DUE BY 3 PM, FRIDAY, MARCH 2. (This step is required. There are no deferments or waivers.)

Payment Options:

  1. In-Person/Walk-in (Cash, Check, Money Order, Debit or Credit): To make an in- person payment, please visit the Cal State LA Cashier’s Office located on-campus in the Administration Building Rm 128. The Cashier service windows are located in the open courtyard area. Notify the staff you are wishing to pay your $500 fall 2018 Housing Initial Payment.
  2. Mail (Check or Money Order): Please mail in your check or money order to the Cal State LA Cashier’s Office. Please include on the check or money order the student’s name, campus ID number (CIN#) and “Fall 2018 Housing Initial Payment.” Mail it to: Cal State LA Cashier’s Office, 5151 State University Drive, Administration 128, Los Angeles, CA 90032. (Check and money orders must be received by the deadline, not postmarked by the deadline.)
  3. Online (Credit, Debit, E-Check): Please log on to CashNET to make your online payment. For instructions on how to make online payments, read How to Pay Your Housing Statement Online. Be sure to select the option for the “Fall 2018 Housing Initial Payment.”
  4. Foreign Currency: Please go to Flywire to make your payment using a foreign debit or credit card, international wire transfer, or other local payment options from your home country. First-time users will be asked to create a Flywire user account. The system will provide you with instructions throughout the process.

STEP 3: ROOMMATE SEARCH WIZARD: IDENTIFY YOUR ROOMMATE(S)/HOUSEMATES AND BUILDING PREFERENCES (March 9–12)

  • Discuss with friends what building and room location you would prefer. Students will be allowed to select from spaces in Phase I, Phase II and if eligible from GEA. Some students prefer a second floor over a first floor so we encourage you to rank your preferences. Take a look at the Housing Map and Floorplans.
  • The Roommate Search feature will have the opportunity to log on to Housing Portal to request friends as roommates and/or search for potential roommates.

STEP 4: LOTTERY AND ROOM SELF-SELECTION PROCESS (March 19–30)

Lottery Appointment Process

Students will be invited to participate in the room self-selection process through our online lottery scheduler. Lottery numbers will be calculated and students scheduled to select their rooms based on the criteria outlined below. The lottery appointment will be the date and time for which a student will be provided access to the online Housing Portal in order to self-select their room and assigned any confirmed roommates. Lottery appointment emails will be sent to your Cal State LA email address on Thursday, March 8, 2018.

The lottery will be determined by the following formula:

Cumulative GPA x Credits Earned = Lottery Number
(e.g. 2.44 GPA x 38 Credit Hours = 92.72)
 

Cumulative Grade Point Average is determined by the Registrar’s Office for coursework completed at the end of the fall 2017 semester. If the University has not included transfer courses within your cumulative GPA those course will not be eligible to be counted and only what has been reported as your Cumulative Grade Point Average will be utilized to determine your score.

Credits Earned is determined by the Registrar’s Office for the academic credits earned on record by the completion of the fall 2017 semester.

Self-Selection Options

  1. Room Selection with Roommate(s): If a student is interested in selecting a room with a preferred roommate, the student will utilize the Roommate Search Wizard to identify the individual or individuals with whom they wish to select a bedroom. Students who are interested in living together in the same bedroom must complete the roommate search and confirmation process during Step 3 (roommate search wizard) prior to Step 4 (self-selection process). All students must have completed an online application, paid all fees and confirm a mutual roommate request.
  2. Room Selection with Roommate(s) and Housemate(s): If a group of students are interested in selecting into an apartment together, they will utilize the Roommate Search Wizard to identify the individuals they wish to select an apartment with. Students who are interested in living together in the same apartment must complete the roommate search and confirmation process during Step 3 and prior to Step 4. All students must have completed an online application, paid all fees, and confirm a mutual roommate/housemate request.
  3. Room Selection without Roommate(s): If a student is interested in participating in the housing selection process as an individual and does not have a specific roommate request, they will complete the online housing process and self-select a room to an available bed during their lottery appointment time. Bedroom-type options will be subject to available bed space at the time of selection.

HOUSING SELECTION INFORMATION SESSIONS

Information sessions regarding the housing selection process will be hosted by The Office of Housing and Residence Life. During the session we will discuss in detail the application, Housing Agreement, student eligibility standards, process timeline, roommate selection, choosing a meal plan, payment schedule options, self-selection lottery calculations, and how to select your room and assign confirmed roommates. An online-tutorial will also be available on our website for reference.

We encourage all students to attend an information session to learn about how the process works and use it as an opportunity to ask your specific housing questions.

FREQUENTLY ASKED QUESTIONS

WHEN IS MY HOUSING FEE BALANCE DUE?

2018–2019 housing fees will be posted to your student account no later than June 2018. Based on your payment schedule selection, your fees will either be due in one payment or two payments. You MUST review your housing bill in June and follow the payment dates outlined on your student account to avoid late fees. Late fees are applied monthly for past due balances.  All fees must be paid in full prior to a student’s arrival to campus.

WHEN DOES MY 2018–2019 HOUSING AGREEMENT BEGIN? WHEN CAN I MOVE IN?

Continuing students will be invited to move in to their fall housing assignments by appointment on Friday, August 17, 2018. Students must meet these eligibility requirements to move in:

  • Unit Enrollment (Undergrad: a minimum of 12 units; Grad: a minimum of 8 units)
  • Payment (Paid in full)
  • TB Clearance (submitted and cleared TB review with University Health Center)

CAN I STAY OVER THE WINTER INTERSESSION? WINTER INTERSESSION HOUSING IS NOT INCLUDED IN THE 2018–2019 HOUSING AGREEMENT?

University housing will close at 2 p.m. on the last day of fall final exams and reopen on the Friday prior to the first day of spring term classes. Residents may keep their belongings in their apartments but will be required to make other living arrangements for that time period. The housing rental fees do not include the six weeks of winter intersession, therefore students will be required to head home or arrange other accommodations for the break and return before the start of the spring term. Students who request to stay in housing during winter intersession must participate in an application/agreement process and satisfy all winter fees associated with a six-week stay prior to the start of the break. Winter intersession enrollment is not required.

MISSED APPLICATION DEADLINE? IS THE HOUSING SELECTION WAITLIST FOR YOU?

The Office of Housing and Residence Life will continue to accept housing applications and initial payments after the deadline BUT late applications WILL NOT be eligible to participate in the housing selection process. All late applicants will be referred to the waiting list. If an eligible student participating in the housing selection process attempts to request you as a roommate, you will still not be eligible for housing selection. If you are a late applicant, please notify classmates of your ineligibility to participate in the housing selection process so that they may seek other roommate options.

Although participation in the waitlist process does not guarantee a student will receive a housing assignment, we still encourage students to remain on the waiting list as cancellations generally occur during the summer months. Waitlist students will be assigned a space as cancellations are received into the next available bed regardless of room type preferences. We anticipate addressing waitlist students between June 15 and August 15, based on availability.

WHAT IF I FAIL TO MEET THE ELIGIBLITY CRITERIA?

Students must meet the eligibility criteria throughout the entire housing selection process. Any attempt to pay initial payment with an outstanding balance will not be reflected as an initial payment instead it will be applied to outstanding balance. Housing and Residence Life reserves the right to cancel a student’s application and room reservation if student defaults on payments, meeting sanctions, has a conduct issue or is not enrolled in the required unit enrollment.

NOT SURE ABOUT LIVING ON CAMPUS NEXT YEAR?
University housing availability after the housing selection process is not guaranteed, therefore it is highly recommended that eligible students participate in this process in order to ensure campus housing for next year. Even if you are not sure of your plans, it is better to reapply now, and cancel if your plans change. Students must submit a request to cancel their housing assignments no later than 5 p.m. July 17, 2018, to avoid prorated room and meal plan charges. All cancellation requests are subject to a $50 cancellation fee if approved.  See the cancellation policy outlined below.
 
CAN I GET MY $500 INITIAL HOUSING PAYMENT BACK? WHAT IS THE CANCELATION POLICY?

The fall cancellation request deadline is July 17, 2018. Students are responsible for submitting a Cancellation and Application Refund Request to The Office of Housing and Residence Life no later than the official cancellation date. This date is set to accommodate the required 30-day notification process outlined in our Housing Agreement. If approved for cancellation, students will be eligible to receive a partial refund of the initial payment. When completed by the deadline, fees that are assessed during a cancellation are: $40 application fee and $50 cancellation fee.

WHAT IF I NEED TO REQUEST MEDICAL ACCOMMODATIONS FOR HOUSING?
The Office of Housing and Residence Life, in consult with the Office for Students with Disabilities (OSD), is committed to assisting students who identify as “qualified individuals” with a documented disability find reasonable accommodations as determined by the Americans with Disabilities Act (ADA) and Fair Housing Act (FHA) policies and guidelines, on a case-by-case basis. If you are a “qualified individual” requiring a specific type of housing accommodation due to a medical condition or disability, please follow the appropriate steps to ensure your housing selection participation with medical/disability considerations.
  • You must register with the Office for Students with Disabilities (OSD) by providing updated documentation about your condition and housing accommodation recommendations from your treating physician. For more information on the registration process, visit the OSD website or by contacting them at 323-343-3140 or OSD@calstatela.edu.
  • Students returning to housing who currently have an OSD-approved accommodation are required to re-register and provide updated information as it relates to your “qualified individual” status.
  • Despite your accommodation needs, you are required to meet all deadlines for the housing selection process in order to be eligible for housing selection participation and placement. 
  • Your OSD registration process must be finalized no later than Friday, March 9.
WHAT IS A THEMED OR LIVING LEARNING COMMUNITIES (LLC)?

Students currently participating in or interested in one of the themed Living Learning Communities for the 2018–2019 academic year should mark their interest under LLC or themed community when completing their student profile in the online housing application. Students may show interest in more than one LLC or themed community, but note all continuing student LLCs/themed communities may require an application and/or enrollment in a class, special program affiliation or attendance to a minimum of programs to help develop the awareness in the community.

I’M AN HONORS STUDENT WANTING TO RETURN TO HONORS HOUSING. HOW WILL THE PROCESS WORK FOR ME?
If you are requesting to reside on campus for the 2018–2019 academic year as part of the Honors Housing program, you MUST submit the $500 Housing Initial Payment and complete all steps required in the housing selection process by the requested deadlines. Confirmation of honors student status and eligibility to select into Honors housing is determined by the Honors College. Please note that honors students are subject to the same eligibility criteria as all other students participating in the housing selection process.
 
I’M A STUDENT ATHLETE. DO I NEED TO PARTICPATE IN THE HOUSING SELECTION PROCESS?
Yes. If you are requesting to reside on campus for the 2018–2019 academic year, you MUST submit a $500 Housing Initial Payment and complete all steps required in the housing selection process by the requested deadlines. Athletes are subject to the same eligibility criteria as all other students participating in the housing selection process.
 
WHAT ARE THE 2018–2019 Housing Fees (Room and Board)?
We anticipate our 2018–2019 housing fees will increase both for rent and meal plans. There is an estimated rate increase of 10% for room rent and an estimated 5% increase for meal plans.  The 2018–2019 payment schedule will be available at the start of the spring 2018 term for your review. Once the official rates a payment schedule has been released, students will be notified via email.
 
WHEN CAN I REQUEST A ROOM CHANGE?
The room change request process does not begin until three weeks after the start of the fall 2018 semester. Our ability to accommodate room and/or building changes are based on availability of space within our community. Students who are interested in a room change must schedule an appointment with their Residence Director following the three week administrative freeze to discuss their interest and determine the best course of action. Please note: room changes are not guaranteed, roommate mediations are utilized as a course of action within our processes.
